Budget Approval

- Get written PO or budget code from finance

Phase 2: Venue & Vendor Finalization (6–8 Weeks Before)
- Shortlist 3 venues based on capacity, location, AV infrastructure, and parking
- Conduct site visits — check power load availability, internet bandwidth, fire exits, ADA access
- Sign venue agreement and pay advance (typically 50% in India)
- Lock in catering: buffet vs. plated, dietary restrictions, halal/jain/vegan options
- Brief AV vendor — screen sizes, LED walls, stage dimensions, microphone count, live streaming requirement
- Confirm travel and accommodation for outstation speakers and delegates
- Book event manpower — registration desk staff, ushers, security, housekeeping
Phase 3: Content & Communication (4–6 Weeks Before)
- Finalise agenda: keynote timing, panel durations, networking breaks, awards sequence
- Confirm all speakers — collect bios, headshots, and presentation drafts
- Design and distribute save-the-date and formal invite (email + physical if applicable)
- Set up online registration or RSVP link
- Prepare event microsite or registration page with clear CTAs
- Draft social media content calendar for pre-event buzz
- Create event branding guidelines: logo usage, colour palette, font standards for all collateral
Phase 4: Logistics & Production (2–4 Weeks Before)
- Confirm stage design, backdrop, podium, seating layout — share floor plan with venue
- Order all branded materials: standees, rollups, lanyards, badges, tote bags, certificates
- Arrange projectors and screens, LED panels, or video walls as per venue size
- Confirm sound system and stage lighting with detailed rider
- Finalise photography and videography brief — shot list, deliverable timeline, raw footage handover
- Organise transportation: airport pickups, shuttle buses, parking permits
- Set up event WhatsApp group with all vendors for D-day coordination
Phase 5: Rehearsals & Final Checks (2–7 Days Before)
- Conduct AV tech rehearsal at the venue — test all microphones, presentations, videos
- Run a full run-of-show (ROS) with all speakers and moderators
- Inspect registration desk setup, badge printing, QR scanners
- Verify catering plan, meal timings, and dietary special tray labelling
- Confirm medical/first-aid point and emergency contact list
- Brief all on-ground staff and ushers — assign zones and radio channels
- Do a final headcount against confirmed registrations
Phase 6: Event Day Execution
- Arrive 3–4 hours before doors open — complete setup walkaround
- Test all equipment again on the day
- Station a dedicated "traffic controller" at the registration desk for smooth check-in
- Keep a printed programme and run-of-show for every team lead
- Monitor social media and live coverage in real time
- Assign a dedicated runner for speakers and VIP guests
- Document everything: candid shots, crowd shots, stage moments, sponsor visibility
Phase 7: Post-Event Wrap-Up (Within 72 Hours)
- Send thank-you emails to speakers, sponsors, and attendees within 24 hours
- Share highlight reel and photo album with attendees
- Collect feedback via survey (Google Forms or SurveyMonkey)
- Reconcile all invoices and close vendor payments
- Prepare event report: attendance numbers, reach, media impressions, budget vs. actuals
